Description
Our client, in downtown Tucson, is looking for a Front Desk Representative. The Front Desk Representative is a professional and customer service focused team member who has the capacity to be a Brand Ambassador. The Front Desk Representative is the “face” of the firm for all clients and is responsible for the first impression we make. The Front Desk Representative is friendly, approachable, confident, perceptive, and disciplined. The priority of this position is to provide exceptional customer service and make every client and visitor feel comfortable and valued.
Manage a heavy volume of calls from leads, potential new clients, and existing clients
Build sustainable trusting relationships with clients through effective and proactive communication
Develop and maintain proficiency in all information systems and databases, both internal and external, that must be used to properly perform the duties of this position. These include, but are not limited to, Clio (Manage and Grow), LMS, PACER (EC/CMF), Arizona state criminal database, ICE and EOIR information systems.
Identifying and assessing clients’ needs to effectively address their concerns.
This includes:
o For prospective clients, educating on why and how the client offers the solution to their problem
o For existing clients, focus on maintaining the trusting relationship between the client and the firm by providing exceptional client service
o All action must be performed timely, and clearly communicated to the proper firm employees, in addition to being clearly documented in Clio Grow and Clio Manage
Maintain professional work environment at reception; greet, welcome, and announce clients and visitors to the firm
Keep front desk, lobby, kitchen and conference rooms clean and presentable with all necessary materials (business cards, forms, paper, envelopes, etc.)
Ensure that kitchen area is kept clean and neat
Answer and route incoming calls from EXCs to the appropriate legal support staff
Conduct lead intakes and properly schedule consultations in a timely manner
Review and explain consultation process to leads and PNCs to ensure realistic client expectations
Schedule detention visitation for attorneys by 3pm each day
Manage Lead Pipeline and communicate effectively about lead developments with Client Services Representative and Business Development Manager (BDM)
Update PNC tracking spreadsheet in a timely manner
Provide appointment confirmation and reminder emails, texts, and phone calls to PNCs and EXCs
Follow up via email, text, and phone with unconverted leads
Meet regularly with CSR, BDM, Firm Administrator, and Managing Partner to review lead conversion performance, and discuss potential process adjustments to improve lead conversion
Effective communication with clients’ pre-consult to positively impact originations
Process payments and cash handling
Assist in post-hire gold standard client engagement: answer calls, warmly receive them as walk-ins, provide all appropriate information and connect them to their assigned paralegal
Interpret for Spanish speaking clients and staff as needed
Cross train as back up to Front Desk Representative 2 and Client Service Representative in their absence
Perform other clerical duties such as filing, photocopying, and faxing.
Update multiple outlook calendars and schedule meetings

Requirements
Communication Skills – requires exemplary communication skills, with the ability to deal with all levels of staff with tact, and professionalism.
Organization Skills – requires excellent organization skills, the ability to be able to view tasks in order of priority.
Customer Service – service oriented with demonstrated ability to adapt/respond to different types of personalities and challenging situations.
Minimum of one year of administrative experience with increasing responsibility.
Advanced computer skills, including proven proficiency in MS Office Products
