Marriott Vacations Worldwide Administrative Assistant in Sedona, Arizona
Full Time 40 hour per week, non-exempt position. Must be able to work Holidays and Weekends, as needed. Works closely with Resort General Manager, Resort Department Managers, Board of Directors, and Vice President of Operations.
Essential Duties and Responsibilities:Assist the Human Resources Department in ensuring compliance with policies at the Resorts.
Assist the Department Managers with invoice collection and processing and tracking of payment schedules.
Assist in setting up interviews or meetings with contractors.
Assist with organizing staff functions, Board meetings, and Annual Owners’ Meetings for the Resorts.
Attend Board meetings, Annual Owners’ meetings, and Managers’ meetings and take minutes and provide a summary in a timely fashion to all attendees.
Correspond with Owners and Guests telephonically and electronically in a manner to help the Resorts achieve their goals.
Correspond with both General Manager and Board of Directors noting current activity or issues that arise.
Work closely with the General Manager and department heads to prepare and review policies and procedures for department efficiency.
Assist in mailing statements and correspondence as needed.
Performs other duties and tasks related to the position that may be assigned by the Resort General Manager or the Vice President of Operations

High School graduate, and a combination of education and experience displaying excellent typing and computer skills, with word processing background; must have excellent communication skills; good organization skills including filing, basic math, with some accounting desirable, and good time management abilities. Ability to operate and navigate the internet and have computer literacy in all Microsoft Windows-based programs a must. Fluency in both written and verbal English. Must have telephone and interoffice communication skills.
