The Northern Arizona VA Healthcare System is hiring for a Lead Medical Support Assistant for the Community and Managed Care Service Line located in Prescott, AZ.

The primary purpose is to lead the administrative functions and activities in the Community and Managed Care (CMC) service line. The incumbent performs administrative duties associated with community care referrals. They have administrative independence to monitor and make work assignments, provide input on performance, develop standardized operating procedures, develop and provide staff training, resolve daily workplace issues and maintain an efficient workflow. Duties include database management and data extraction and manipulation. The incumbent co-leads the Community Care Administrative Department with an area of responsibility of mail distribution, reception/main telephone line, scanning of community care claims and scanning and indexing of medical records, 72 hour notification of inpatients (emergency/preauthorized care), contract dialysis, emergency and non-emergency care, preauthorized inpatient care, emergency prescription reimbursement, staff training and education, data and information management and retrieval, audits and suspenses, authorization appeals, claims/billing issues, demographics and insurance capture, minor computer/fax/printer/scanning related issues, and patient complaints. Assignments include, but are not limited to:
- Assuring coverage of all areas of responsibility.
- Conducting ongoing reviews to ensure quality of work.
- Ensuring accurate and timely scheduling of community care referrals.
- Providing guidance to staff members to include changes in policies and procedures.
- Distributing and balancing workload.
- Creating and maintaining employee work assignments/schedules.
- Orienting and providing on-the-job training for new and current employees.
- Ensuring all training requirements are met.
- Organizing the work structure of assigned areas.
- Acting as a liaison between administrative staff, clinical staff, third party administrator staff, and leadership in order to resolve day to day conflicts.
- Extracting, compiling, distributing, and presenting data and workload reports.

May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation).
Grade Determinations: GS-7: - One year of experience equivalent to the next lower grade level; AND - Candidates must demonstrate the knowledge, skills, and abilities below:
- Ability to organize work, set priorities, and delegate tasks/responsibilities in order to meet deadlines.
- Skill in communicating with individuals in order to obtain the desired effect, ensuring compliance with established policies and regulations.
- Ability to provide staff development and training.
- Ability to manage staffing requirements, manage priorities, and coordinate work in order to complete duties in an accurate and timely manner. This includes the ability to follow-up on pending issues and demonstrating an understanding of the impact of incomplete work.
- Ability to review and monitor data to ensure all reports are complete and accurate.

Physical Requirements: Light lifting (under 15 pounds); reaching above shoulder; use of fingers and both hands; walking; standing; sitting (6 hours or more); repeated bending; climbing stairs; ability for rapid mental and muscular coordination simultaneously; near vision correctable at 13" to 16" to Jaeger 1 to 4; far vision correctable in one eye to 20/20 and to 20/40 in the other; depth perception; ability to distinguish basic colors and shades; hearing (aid permitted); mental and emotional stability; using computer for 7 or more hours.
