This position is responsible for providing comprehensive administrative support for a Technology Vice Presidents in Web Engineering. The ideal candidate is experienced in handling a wide range of administrative-related tasks in a fast-paced environment. The candidate should be comfortable in a changing environment and be able to work independently, proactively, and with agility while maintaining a positive demeanor. The candidate should also work effectively supporting a fast-paced organization while managing multiple tasks with accuracy, flexibility, and attention to detail.

Duties will include:

  • Ability to draft emails for mass communication and send follow-up emails as needed

  • Organize internal and external business meetings, including large-scall Town Halls to team building events by making all necessary arrangements, including sending invites, reserving rooms, conference calls, and telepresence setup

  • Own team confluence space and maintain all the living documents

  • Assist in taking notes during leadership meetings and follow up with action items

  • Preparing agendas for internal team meetings using confluence and any other necessary software

  • Maintain headcount reporting, organizational charts & department’s Global Distribution Lists

  • Comprehensive calendar management. Ability to anticipate critical issues and/or opportunities

  • Ad hoc administrative / project work as requested by the leader

  • Assist Portfolio management team with any hiring and/or onboarding needs

  • Cultivating relationships and collaboration with other Executive Assistants and organizations across the company

  • Managing office supplies, equipment, and other supply requests

  • Coordinate facilities management responsibilities

  • Ensure timely preparation of leader expense reports in accordance with the T&E policy, including the reviewing of direct report expense submissions

  • Manage international and domestic travel arrangements, including air, hotel, transfers, and agendas

Qualifications

  • Previous experience supporting or working with senior executives

  • Excellent written communication skills as we are a document-first organization

  • Excellent organization skills with a strong focus on attention to detail

  • Ability to multi-task, prioritize, and complete work in a timely fashion against firm deadlines.

  • Strong attention to detail with emphasis on accuracy, quality, timeliness, and follow-through

  • Excellent relationship skills, with the ability to work with employees of all levels of leadership

  • Demonstrated ability to maintain a high level of confidentiality and handle highly sensitive information

  • Positive demeanor, with a can-do attitude!

  • A college degree is a plus.
